When a customer is not ready to go ahead, or an order was placed by mistake, you can send an
Ordered order back to the Quotes tab. The order keeps its number and all its
items; only its stage changes.

Who can use it

The Revert to Quote button on the order row is available to users with the
Revert Order right — the same right that sends a confirmed order back to Ordered.
Without the right the button is greyed out. See
User rights & groups.

Which orders

The button appears on rows of the Orders tab whose status is Ordered. It does
not appear on back orders. An order that is already Confirmed goes back in two steps:
first Revert Order (Confirmed to Ordered), then Revert to Quote.

When it is refused

The system checks everything first and changes nothing if any of these is true:

  • the order is confirmed (revert it to Ordered first);
  • the order is locked by another user;
  • an active purchase order exists for the order;
  • a service ticket is in progress for the order;
  • a deposit on the order has already been invoiced.

The message names the reason. Clear it (for example, delete the purchase order) and try
again.

What happens

  1. Press Revert to Quote and confirm Revert to Quote status?
  2. The order moves to the Quotes tab with status Quote. The date ordered and
    the user who ordered it are cleared, and the status history records the change.
  3. The customer credit that Place Order used is given back.
  4. Deposits are handled by where the money came from:
    • a deposit that was paid from a credit note goes back onto that same note;
    • deposits paid by cash, card or cheque become one new credit note for
      their total, linked to the order. A message tells you its number
      (Deposit moved to credit note…).
  5. The order shows no deposit again, and its balance is the full amount due.

When the quote is placed again, the credit note can pay the deposit — see
Paying a deposit with credit notes.

Accounting is not told
Nothing is sent to QuickBooks or any other accounting system when you revert, including the
removal of a deposit invoice. The deposit was really received, so accounting must adjust it by
hand if their books need to show the credit note.
