Text answers work immediately — nothing to configure. You only need this
step before anyone attaches a file or video to an entry, because OpenJanela has to be
told where on the server to keep those files.

Setting the KB files directory

  1. Open Administration and Setup → Company Preferences.
  2. Choose the AI Assistant tab.
  3. In the Branding & Files panel, fill in KB files directory.
  4. Click Save. You should see “AI assistant settings saved.”
This is a path on the server, not on your PC
The folder is created and written by the OpenJanela application server, so type a path that
exists on the server machine (for example /opt/openjanela/kb-files, or a
drive/UNC path on a Windows server). A path that only exists on your own computer will not
work, even though the field accepts it.

Two things the folder needs:

  • Writable by the account the application server runs under. OpenJanela creates the
folder and its sub-folders on the first upload; if it cannot, the upload fails.
  • Included in your backups. Only a reference to each file is stored in the
database — the file itself lives in this folder. Backing up the database alone will
    not bring your attachments back.

Inside it, OpenJanela files uploads per company as
<your directory>/kb/<company id>/, under generated names. Leave that
structure alone; the entry’s original file name is remembered separately and is what staff
see.

The rest of the AI Assistant tab

The same tab carries the assistant’s own settings. You do not need them for a text-only
Knowledge Base, but they are what makes the assistant able to answer from it:

  • Enabled, Provider, Model, Base URL, API key —
the assistant itself. Max tokens and Temperature tune reply length and how
    literal the replies are.
  • Instruction — standing instructions for the assistant. Leave blank for the
    built-in default.
  • Assistant name and Logo — branding shown in the chat window.
  • Vision settings — used only where images are read.
About the API key fields
They always open blank, on purpose — a stored key is never displayed back. Leave
a key field empty and Save keeps the key you already have; type in it only when you
want to replace the key.
