Before OpenJanela can pass deposits to Odoo, Odoo needs its accounting set up
and one journal for each way your customers pay. This is a one-time job for whoever
runs your Odoo accounting.

What is a journal?

A journal is the book Odoo records each payment in: the bank account a check is
deposited into, the cash box, the card account your card processor pays out to. Each
payment method in OpenJanela (cash, check, card, electronic) points to one journal, so a
cash deposit lands in the cash book and a check in the bank book, and your accountant can
match them to the bank statement.

Step 1. Accounting is installed

The Invoicing app (or Accounting) must be installed, with your country’s chart
of accounts set: Settings > Invoicing > Fiscal Localization, field
Package. This is usually done when Odoo is first set up.

Step 2. Check or create the journals

  1. Open Invoicing > Configuration > Accounting > Journals.
  2. A new Odoo already has a Bank and a Cash journal. Add one with New
where you need it: a name, the Type (Bank or Cash) and a short
    code (for example CARD).
  3. On each journal, open the Incoming Payments tab and make sure a payment method
(for example Manual) is listed. Without one Odoo cannot record a payment in that
    journal.

A typical setup:

OpenJanela payment method Odoo journal Type
Cash Cash Cash
Check (cheque) Bank (the account you deposit checks into) Bank
Credit card, Debit card a Card journal: money waits there until the
card processor pays it out to the bank
Bank
Electronic, Mobile Bank Bank

Step 3. The down-payment account

Odoo needs to know which account down payments are booked to. Check
Settings > Invoicing > Default Accounts, field Downpayment Account
(shown to users with full accounting rights). If it is blank, Odoo uses the income account of
the order’s products. Ask your accountant which to use; many use a customer-deposits
liability account. The down-payment invoice uses the sales order’s taxes.

Step 4. Choose the journals in OpenJanela

An OpenJanela administrator opens Company Preferences > Odoo. The Deposit
journals
box lists your company’s payment methods (for example Cash,
Check, Credit Card, Electronic), each with a list of the Odoo Bank, Cash
and Credit Card journals. Pick a journal for each method and press Save journals. Leave
a method on (Odoo default bank journal) and payments by that method go to Odoo’s
default bank journal. If the lists stay empty, press Refresh: OpenJanela must reach
Odoo to read its journals.

What you will see in Odoo

The sales order must be confirmed (a Sales Order, not a Quotation) before the deposit
is recorded; until then it waits. Afterwards the order shows a down-payment invoice,
posted and marked Paid (or In Payment until the bank statement is matched). When
you later press Create Invoice, Regular invoice, the final invoice subtracts the
down payment.

Example. A 500 deposit by Visa on S00042: in Odoo the order gets a down-payment
invoice of 500, paid through the Card journal. When the processor pays out, your
accountant moves it to the bank as usual.

Refunds

A deposit sent to Odoo is refunded in Odoo: add a credit note on the down-payment invoice, or
reverse the payment. OpenJanela refuses to remove or change it.
