How Can We Help?
Take the deposit in OpenJanela exactly as before. OpenJanela sends it to Odoo,
where it becomes a down payment on the Odoo sales order, already paid. The final Odoo
invoice deducts it.
Take the deposit
- In OpenJanela, on the customer’s order, open Deposits and press New
Deposit, as usual (a deposit is also asked for at Place Order when the
customer’s deposit settings require one). Choose the payment method: cash, check, card
and so on. - OpenJanela updates the order balance and the customer’s credit at once. It makes no
deposit invoice of its own: Print Deposit prints the payment receipt. - Through the queue, Odoo gets the deposit: a down-payment invoice on the sales order, with
the payment registered against it in the journal chosen for that payment method.
Example. Lakeview Builders pays a 3,000 deposit by check on an order of 12,000. In
OpenJanela the balance due becomes 9,000. In Odoo, sales order S00042 shows a down-payment
invoice of 3,000, paid, in the bank journal set for checks. The final invoice later shows
12,000 less the 3,000 down payment.
When does it reach Odoo?
- Odoo can only take a down payment on a confirmed sales order. A deposit taken on a
quote waits in the queue until the order is confirmed in Odoo, then goes through by
itself. - If the Odoo sales order is cancelled while the deposit is waiting, the waiting
deposit is dropped (it stays in OpenJanela). - If a deposit is still waiting after the order was confirmed or cancelled directly in Odoo,
open Company Preferences > Odoo and press Retry failed: OpenJanela checks the
order again and sends (or drops) the deposit. - Odoo applies the sales order’s own taxes to the down payment, so the tax split can
differ slightly from OpenJanela’s figures.
What is not sent
- A deposit paid from an OpenJanela credit note: those credit notes exist only in
OpenJanela. - A deposit whose customer currency differs from the Odoo sales order’s: it is held,
never converted, and the Odoo tab shows Deposit held: currency mismatch as the last
error. Enter it in Odoo by hand. - Deposits taken before the company was connected to Odoo. Enter open ones in Odoo by
hand if needed.
Removing, changing or refunding a deposit
Once a deposit has been sent to Odoo, OpenJanela refuses to remove or change it, and
refuses Revert to Quote on that order. Do the refund in Odoo: add a credit note on the
down-payment invoice, or reverse the payment. OpenJanela answers This company is connected to
Odoo: this deposit was already sent to Odoo as a down payment and cannot be changed here. Do
refunds in Odoo. A deposit not yet sent (still waiting for the order to be confirmed) can
still be removed in OpenJanela; it is then never sent.
Before the first deposit
Odoo must be set up to receive payments: see How do I set
up Odoo for deposits (payment journals)?
Card details
For every company, connected or not, OpenJanela no longer keeps a card’s security
code or full card number with a deposit or payment.
