Guided setup walks you through a product series one plain question at a time, in
the words of a salesperson, not an engineer. You answer by ticking choices, filling a small form, or
typing a sentence that the AI turns into the form. Nothing reaches the series until you (or the
setup owner) write it, and the series stays hidden from order entry until it is signed off.

Where to find it and who can use it

  • Admin → OJ Setup → Product Setup → Guided series setup, or the
Guided setup and New series with guided setup buttons beside New / Copy / Delete on the
    Series screen.
  • My setup questions is on the Customer menu (questions a colleague asked you).
Right What it lets you do
321 — Series Setup, answer questions Open the screen, Save answer, Ask a colleague…, I don’t know, Fill from my words,
and answer your own My setup questions. Cannot write, undo, run the test or sign off.
322 — Series Setup, owner (administrators too) Everything above, plus Start guided setup, Start new series…, Write into series,
Undo write, Run parts test, Sign off parts, Sign off series and
Abandon this setup. This is the one named person who goes live with the series.

Grant the rights in User rights & groups. Without them the buttons are
missing or the screen answers in words that you are not allowed.

Starting

  • A new series: Start new series…, type the name your customers know, choose
Metric (mm) or Inches, OK. The series is created hidden.
  • An existing series: pick it in the Series list and press Start guided setup. The
screen asks to confirm because the series is hidden from order entry until you sign it off. Answers
already in the series’ Specs tab are offered as Proposed
answers: the header (name, category, units, frame depth), opening types, options by level and size limits.
A proposed answer is not an answer yet: check it and press Confirm answer. Company questions are never proposed. Rows that cannot
be used (for example an option row with no level, or an opening that is not in the catalogue) are listed
after the start and their question is simply asked as usual.

The questions

The left list groups the questions by topic, each with a badge: Open, Proposed,
Answered, Written, Colleague (hover for who and the note) or Not known. The top
line counts them and Still needed before sign-off names what is missing.

Topic Question What you give
Company What you do We make the units / We buy them finished / Both
Company How you price Price book (a price per size) or Cost plus mark-up
Products Name, units and frame Series name, category, Metric (mm) or Inches, frame depth
Products Window and door types Tick every opening type, shown with the designer’s pictures
Options Whole-window, Overall unit, Choices for each face, Frame, Sash choices A table: Option, Answer, Stock code, Price, Default. Leave Option blank for another answer of the option above;
tick one Default per option.
Limits Size and weight limits Opening type, what (width, height, area, sash or unit weight),
min, max, unit, Error or Warning, and the message the salesperson sees

The options come general to specific, following the levels of the product (see
Glossary). Under the limits table Read back repeats each limit as a sentence, for example
“Casement left: a sash taller than 84 in is an error: ‘Casement too tall – call the plant'”. Read it before you
write: once written, order entry checks every window against it.

Fill from my words

Under Or say it in your own words type what you know and press Fill from my words. The AI fills the
form above from your sentence. It never saves. Check what it filled, correct it, then press Save answer.
If the AI is not available or cannot read your words, the form is left as it was and a sentence tells you so.

Save, Write into series, Undo write

  • Save answer (or Confirm answer on a proposal) keeps your answer in the setup only. The series is
not changed. Anyone with right 321 can do this.
  • Write into series (owner) puts the saved answer into the real series. It shows what it will write
(limits as sentences) and asks to confirm. It refuses while the form on screen differs from the saved answer: press
Save answer first. The editor becomes read-only once written.
  • Undo write (owner) removes exactly what that answer wrote and keeps the answer, so you can edit and write again.
Changing units
If the series already has drawn designs, changing its units asks for an extra confirmation: the designs keep the
sizes they were drawn with, so check them afterwards.

Ask a colleague, My setup questions, I don’t know

  • Ask a colleague…: pick the person who knows (only users who may answer are listed) and add a note
saying what you need. The question is parked and the rest of the setup carries on. It appears under
Customer → My setup questions for that colleague, with the series and your note.
  • The colleague answers there (choices, form, or Fill from my words) and presses Save answer. They
see a thank-you and the question leaves their list. The owner then sees it as Answered and writes it.
  • I don’t know marks the question as not known (after a confirmation). You can answer it later. A required
question left not known blocks sign-off.

The parts test

On the Parts test tab the owner presses Run parts test. The test builds the series’ standard
designs with every option answer and lists the parts of each window. It can take a few minutes; the questions stay
readable but the write buttons wait.

  • Designs needed: draw at least one standard design first (the Draw standard designs link opens the
Series → Designs tab). A run with no designs cannot be signed off.
  • Reference units: sizes you list in the Specs tab (a design and “W x H”) are built first, in their own group
“Reference unit from the Specs”, with all options at their default. One that cannot be built (design not in the
series, size unreadable) is named in a notice.
  • Each window shows its parts; a failed window shows its cause; an option the design does not offer is shown
as skipped. The summary reads “windows built, failed, skipped”.
  • Stale results: after any write, undo or change of an answer the summary says “Answers changed since this
run – run the test again”. A stale run cannot be signed off.
  • Sign off parts is enabled only when a run exists, no window failed, it is not stale and not yet signed off.
Press it only when every window lists the right parts. Status line: not run yet / run, not signed off / signed off /
signed off, but answers changed since.

Signing off the series

Sign off series (owner) is refused while anything blocks it, and lists each blocker in a sentence:

  • a required question not answered (a Proposed answer counts as not answered), or not known;
  • a required question answered but not written into the series;
  • a required question still parked with a colleague;
  • the parts test not run, failed, not signed off, or stale.

Until sign-off the series is hidden from order entry (a new series, or an existing one you started). After
sign-off it shows in the series list for everyone and its setup can no longer change.

The Specs tab: “From guided setup” rows

While the setup is running, each written or answered question is mirrored into the series’ Specs tab: the
header block (name, category, units, frame depth, company answers), opening types, options (with a Level column), size
limits, and parked or unknown questions under open questions. These rows carry a Guided setup badge (“From guided
setup (WRITTEN)”, plus “proposed from your row: …” when it came from a row you typed), are italic and
read-only; edit them in Guided setup. Your own rows are never changed, even if an interview row says the same thing.
After sign-off the rows become ordinary: the badge goes and you can edit them on the tab like any other.
A Series screen that was already open shows the interview rows only after you re-select the series.

Abandon this setup

Abandon this setup (owner) first undoes everything the setup wrote into the series, then deletes the
setup’s answers and its rows on the Specs tab. A series the setup created is removed from the lists; an existing series
goes back to order entry as it was. Your own Specs text stays. A signed-off series cannot be abandoned.

Profile files

The Profile drawings screen reads the supplier’s profile files (DWG, DXF, or a PDF that holds vector
drawings) and turns each drawing into the section picture of its profile. Open it from the drawings question ("Add the profile drawings of this series…", under PROFILES; press Open profile drawings), or, for a series that is not in a guided setup, from the picture button
Profile drawings beside the guided setup buttons on the Series screen. Scanned PDFs cannot be read: ask the
supplier for the CAD or vector files.

  • Colours and profiles. Answer the colours question ("Which colours do you offer for this series?…", under the COLOURS topic) first. The profiles question ("List the profiles of this series…", under PROFILES, with its Stock codes choice)
gives the articles, their role and bar length; you can type the lines or Paste a list… from a
spreadsheet, and Preview the parts shows what would be created. This question is
optional: a series that shares its profiles with another series can skip it. The drawings screen finds existing
parts from every series by their stock code.
  • Add files. Drop the files on the drop zone or press Add files. A PDF is read page by page with a
progress bar. If a file stops half way, press Continue reading. A single file may be up to 30 MB.
  • Scale not proven. Some prints (for example outlined text, no stated scale) cannot prove their own scale.
The file is then marked Scale not proven. Under Add a known size type the article, width or height, and
the real size in mm for at least three profiles, then Add and check the scale. When the sizes agree the drawings
get their sizes and pictures. A size that does not fit is listed and not used.
  • Use mm. If a file looks drawn in millimetres although it says otherwise, a notice offers Use mm.
Check the sizes, then press it.
  • Review. Each drawing is a row with its picture, article, size, how sure the label is, the part (or parts, one
per colour) it is linked to and its Exterior / opening orientation. Flip puts the exterior on the other
side, Rotate a quarter turn turns it. Parts… changes the linked parts, Exclude leaves a
drawing out. Show Needs a check to see only what needs you.
  • Confirm. Confirm selected confirms the rows you pick. Confirm all clear confirms only
the drawings that are sure in every way (sure label, sure orientation, one clear part, no picture yet); close calls stay
    for you.
  • Write confirmed into the series. Only now does anything reach the series: the profile sections, the links
to the parts and the part pictures. Dimensions already set on a part are never overwritten, and a part that already
has a picture keeps it unless you tick Replace pictures on its row.
  • Undo this file. Removes what the file wrote: the sections and links it created, and the pictures it
    wrote (earlier pictures come back).

Who may do what: on a guided-setup series, right 321 can add files and check and edit rows; Confirm,
Write and Undo need 322 (the owner). On a series outside guided setup you need the OJ Setup rights.

Administrator
Real profile prints are several MB and travel inside a web request. WildFly’s default limit of 10 MB refuses them: raise
the http-listener max-post-size to 64 MB (67108864) with the jboss-cli and reload, on every server that serves customers.

Administrator note

  • Rights files on the model database. These do not run by themselves at boot: run them by hand on every
model (central, openjanela) database at deploy, otherwise rights 321 / 322 granted to a non-administrator
    have no effect:
    105220261018_V6.5_openjanela_refdata_insert_setup_interview_rights.sql (rights 321 and 322) and
    105320261018_V6.5_openjanela_refdata_insert_confirm_below_cost_right.sql (right 320).
  • MyISAM tenants are refused. Writing needs transactions. If a partner database still uses MyISAM for the
series tables, Write into series answers “Your database cannot take this change safely yet. Please ask your
administrator.” (setup.apply.tenant_unsupported). Convert the tables to InnoDB first.
  • “Someone else is changing this setup right now” (setup.busy) is a lock collision; try again.
