A supplier is a company you buy from. A part family is a group of similar parts
(Screws, Hardware, Frame Profiles, Glass): every part must belong to one, and the family decides whether its parts add
to the item price and cost, its default markup, and its warranty group. Make both before you add parts.

Before you start

  • For suppliers: a customer type flagged Is supplier must exist. It has no screen; see
Lists your administrator sets up. The currency and payment-term lists should be
    filled too.
  • For families: cost groups and price groups exist (Set up cost groups and
    price groups
    ).
  • The Parts Families button is shown only to users with the administration right.

Steps: add a supplier

  1. Open Purchasing Management → Supplier Management.
  2. Click the round + button (its tooltip says “New Customer”, but on this screen it makes a supplier).
The Details form opens empty. It is the same form customers use.
  3. Fill Full Name, the main contact, telephone and email, the Main Address, and pick the supplier
Type. For some supplier types a unit-of-measure box also appears; pick the units this supplier works in.
  4. On Financials set Account No., Currency and Terms if you will raise purchase orders.
  5. Save. The supplier now appears in the Suppliers list and in the supplier combos of stock records, option
choices (Process = External), surcharges and the bulk imports.

Steps: add a part family

  1. Open Inventory Management → Stock Management, click Stock Management on the dashboard,
    then the Parts Families button.
  2. Click New. Type the Description (required: “Description is required.”).
  3. Pricing pane: tick Include in Price (off = parts of this family add nothing to the item price),
set Price Markup if you want a family default (a part uses it when its own markup is 0), tick
Marked-up Cost for families priced as cost plus markup.
  4. Costing pane: tick Include in Cost (off = parts of this family add nothing to the item cost),
Cost Markup, and the ABC Class if you use stock classes.
  5. Save. Repeat for each family.
Another way inOn OJ Setup → PRODUCT SETUP → Parts
the tags button (Categorize (Parts Families)) opens the older Parts Families list. It shows a few more
switches, such as Discountable. When you close it, the Family combo on the Parts screen reloads.
Family groups are not used for pricingThe family’s
Price Group, Cost Group and markup matrices are stored, but item pricing uses the price and cost
group on each part. Set them on the part.

Link parts to their supplier

A part gets its supplier through its stock record, not through the family. After the part exists, open
its stock record and fill the Stock Supplier pane: Supplier, Sup Stock Code, Is
Default
, Order UOM, Min. Order Qty, Lead Time and Cost
(Stock Record). When you import parts from a spreadsheet, filling the
supplier and warehouse columns together creates that stock record for you
(Import new parts from a spreadsheet).

Check it worked

  • OJ Setup → PRODUCT SETUP → Parts → New: the Family combo lists your families.
  • On Supplier Management, search for the supplier: it is in the list.
  • Later: map each family to a warranty group (Set up warranties and job types).
