How Can We Help?
Each person who logs in needs a user. What they can see and do is set by rights. A
user group is a template of rights you can tick on many users at once. Make the groups first, then the
users.
Before you start
- Branches exist (Set up branches and warehouses): every user has a
primary branch and may have extra branches. - You are logged in with a user that has the Create/Edit User right (or is an admin).
- Decide your groups, for example Office, Sales, Production, Setup.
Steps: user groups
- Open Administration and Setup → Users Profile Management (this is the groups screen).
- Create a group, give it a name, and add the actions (rights) from the permission tree. Save.
- Repeat for each group.
Steps: users
- Open Administration and Setup → Users Management and start a new user.
- Detail: company, branch (and alt branches if they work for more than one), name, login,
password, language and default UOM (the units they enter sizes in). - User Rights: tick the group(s). Ticking a group copies its rights onto the user. You can also add single
rights from the tree. - Save.
Rights the setup people need
| Who | What to give them |
|---|---|
| Whoever does product setup | The OJ Setup rights (otherwise the menu entry is missing). The Parts Families button on Stock Management is shown only to users with the administration right. |
| Guided series setup | Series Setup, answer questions to answer, Series Setup, owner to write into the series and sign it off. See Guided series setup. |
| Sales people | A normal user first; the sales-rep record is added later (Set up sales reps and your first customer). |
| Shop-floor operators | Production station rights, so they can open Production Management → Production Stations View. |
A starting set of groups
| Group | Typical rights |
|---|---|
| Office / order desk | Customers, quotes and orders, printing customer documents, invoicing if they do it. |
| Sales | Customers, leads and quotes; view price; confirm order only if your sales people may confirm. |
| Production | Production batches, the production boards, station views. |
| Purchasing and stock | Suppliers, requisitions, purchase orders, receiving, stock transactions. |
| Setup | OJ Setup, Company Preferences, report management. Keep this group small. |
Name each right by what its checkbox says (for example Confirm Order, View Price); the numbers behind them are
internal. A user can be in several groups.
Saving rewrites the rights listWhen you save a user, the rights on
the screen replace the old ones. Anything not shown is removed. Is Admin gives every right and skips the list
entirely: give it to as few people as possible.

Check it worked
- Log in as the new user (or ask them to). The menus they need are there and the ones they should not use are
not. - A setup user can open Administration and Setup → OJ Setup and see REPORTS, PRODUCTION and
PRODUCT SETUP.
