How Can We Help?
A customer record holds the defaults every new quote copies: sales rep, terms, taxes, job type,
currency, discount, ship-to route. Set up the sales reps and the discount lists first, then add the customers.
Before you start
- Users exist for every salesperson (Add users and rights).
- Payment terms and tax codes (terms, tax codes), job types
(job types), and the lists with no screen: currency, customer types,
statuses, routes and drops (Lists your administrator sets up). - Series exist if a sales team sells only some series.
Steps: sales reps
- Open Sales Management → Sales Partner Management, click Details, then New.
- Pick the Branch, the Resource type and the user in Sales Person, then the names,
commission schemes and targets. Save. - Optional: Sales Management → Sales Team Management for teams, and
Sales Management → Sales Commissions for commission schemes.
Steps: customer groups and discounts (optional)
- Open any customer in Customer Service → Customer Management and press Pricing Group.
- Edit. In Partners Group add your customer groups; in Partners Group Line Disc. add the
discounts for each group. Save writes all panes at once.
Steps: the first customer
- Open Customer Service → Customer Management and click the round + button (New Customer).
- Details: Full Name, the main contact, phone and email.
- More: Type, Status (must be a Normal status to place orders), Sales Rep,
Job Type, Group, Lead Time. - Main Address: the Ship To address with its Route, and the Bill To
address (or Same as Ship). - Financials: Account No., Currency, Terms, Tax 1 / Tax 2 / Tax 3,
Discount or Factor, Credit Limit, deposits. Save.
Statuses and types at a glance
- Only a Normal status lets an order be placed. Hold, Pending and Inactive statuses refuse new quotes and
orders (“Customer Status is not active.”). - A Prospect type can have quotes but not orders. A Sundry type is the walk-in account: the user
starting the quote becomes its rep if they are a rep. - A Dealer type turns on the dealer fields of the form (Use Dealer EDI, Allow Active Notes).
- Lead Time 0 on the customer uses the company default.
- Statuses are checked when a quote or order is started and again when it is placed.
Changes reach new documents onlyA quote or order copies the
customer’s values when it is started. Changing the customer later does not change documents already open.

Delivery needs a routeScheduling a delivery (not a pickup) needs a
route and a drop on the ship-to address, or it stops with “Order Shipping Route is not valid”.

Check it worked
- Start a quote for the customer: the sales rep, terms, taxes, job type and currency are filled in for you, and
the Date Required is today plus the lead time in working days. - Placing an order for this customer is allowed (status Normal).
