How Can We Help?
Setting up a new company means filling in lists that point at each other: a part points at its family
and its cost group, an option choice points at a part, a rule points at parts, options and matrices. If you create
something before the thing it points at, OpenJanela saves a 0 or a blank in that box with no warning, and you
have to come back and fix it. Follow the steps below in order and each step only uses things that already exist.
Every step has its own section with the screens, the fields and a check.
The setup order
- Company Preferences (name, logo, address, units, document numbers, scheduling). Everything else reads
them, and the ship address country picks the weekend and holiday calendar. Set up company preferences. - Warehouses, then branches. Branches own users, reps and orders, and a branch links to its warehouses;
production lines and station views also store a warehouse. Set up branches and warehouses. - Users and user groups. Each user has a branch, and sales reps are made from existing users.
Add users and rights. - Lists that have no screen (currency, customer and supplier types, customer statuses, ship routes and
drops, holidays, units of measure, series categories). Customers, suppliers, parts and series pick from them, and
only your administrator can fill them. Ask early. Lists your administrator sets up. - Cost groups and price groups. Parts, option choices, glass types and series shapes all pick a group.
Set up cost groups and price groups. - Payment terms, tax codes, surcharges. Customers pick them; tax codes need the currency list.
Set up payment terms, tax codes and surcharges. - Warranties, then job types. A job type carries a default warranty, and customers carry a job type.
Set up warranties and job types. - Suppliers, then part families. Every part needs a family, and bought parts need a supplier.
Add suppliers and part families. - Production lines, stations, routing, shifts, saws. Parts, option choices and rules send work to a line
and a station, so they must exist first. Set up production lines and stations. - Parts and profiles. Glass types, option choices and every part rule point at a part.
Add parts and profiles. - Glass and sealed-unit types. They are built from glass, spacer and gas parts.
Set up glass types. - Options and choices. Choices point at parts and groups; matrices use options as their rows and columns.
Add options and choices. - Matrices (size and price tables), then go back and attach each matrix to its choice or part.
Create a price matrix. - Sub-routines, then series. A series uses options, matrices, families and sub-routines.
Set up a new series. - Rules and rule tests on each series and sub-routine. Rules use everything above.
Add rules to a series. - Saw codes, profile positions and station views. They need stations and parts.
Set up saw codes and station views. - Reports at stations (shop paperwork), plus Messages & Documents. They need lines, stations and series.
Assign reports to stations. - Sales reps, customer pricing groups, customers. A customer uses terms, taxes, job type, currency,
sales rep and route. Set up sales reps and your first customer. - Smoke test: quote, price, confirm, batch and print one item per series.
Check a new setup works.
Two places where you go back
- Options and matrices point at each other. A matrix uses an option for its rows or columns, and an option
choice uses a matrix for its price. Make the option and its choices, then the matrix, then edit the choice and tick
Matrix Pricing. - Prices that need a matrix on parts. A part can be costed or priced from a matrix. Save the part with a
flat cost first, build the matrix, then edit the part and tick Matrix Cost or Matrix Price.
Short cuts
- Copy a series that is close to the new one (OJ Setup → PRODUCT SETUP → Series →
Copy). Its shapes, openings, designs and rules come with it. See Series. - Guided series setup asks plain questions and writes the answers into a series. See
Guided series setup. - Spreadsheet imports for many parts at once: Import new parts from a spreadsheet.
Where the screens areMost setup screens are under
Administration and Setup → OJ Setup. Its side menu has three groups: REPORTS,
PRODUCTION and PRODUCT SETUP. The others are on the main menu (Company Preferences, Users Management,
Supplier Management, Stock Management, Customer Management). If a menu entry is missing, your user has not been
given the right; see Getting around.
